Description
Shop Floor Administrative Assistant
The Shop Floor Administrative Assistant works closely with our Production Manager, both on the manufacturing shop floor and through administrative support. Liaising with the Quality Manager and working with our business operating system are key elements of the job. The Assistant is tasked with holding employees accountable for following procedure and upholding quality and safety standards through regular audits, as well as innovating and initiating new projects for improvement in these areas.
Responsibilities
- Assist Production Manager in assigning, monitoring, supporting, and improving production on the shop floor
- Create, review, and update Quality Instructions including equipment operation, part operation, material heating, and operation setup instructions utilizing the Plex Document Control System
- Create visual/job aides for Shop Floor training purposes
- Identify and document issues/errors created by inaccurate entry into Business Operating System and production errors that occur on the Shop Floor
- Liaise with Quality Manager for production Quality and maintenance of training records
- Conduct process audits and review results with Production Manager
- Create maintenance work requests as required
- Monitor maintenance supply cycle counts
- Develop and implement 5S initiative for continuous workplace improvement
- Audit and sustain existing 5S practice
- Monitor ongoing process inspections and flag overdue or incomplete inspection results
- Track daily inspection outcomes and trends for real-time quality control and consistency
- Review calibration system certifications and file documents electronically
- Advise Management if quality, safety, or production issues surpass their ability to resolve
Work Environment
This position entails desk and computer-based work, as well as activities on the manufacturing shop floor. The shop floor area typically requires the use of provided eye, head, and hearing protection. Safety toe shoes are also required. Moving mechanical parts, fumes or airborne particles, hazardous chemicals, and high-voltage electrical equipment are regularly in use on the shop floor and may be encountered under appropriate safety precautions.

Qualifications
• Self-motivated individual, ready to take initiative to make improvements daily
• Ability to initiate, plan, and carry out long and short-term projects
• Proficient in using Microsoft Office applications and email communication
• Skilled in writing, grammar, and communicating with colleagues
• Experience with Plex or other Enterprise Resource Planning systems a plus
• High School diploma or equivalent required, 2-year associate degree or higher preferred
