Summary: Manages execution of rentals, contracting, and coordination of facilities for practices, camps, clinics, and tournaments within MetroParks of Butler County. Responsible for the recommendation and implementation of related policies and procedures and requires the exercise of discretion and independent judgement to create memorable events and encounters with guests through exceptional customer service.

Characteristic Duties and Responsibilities – Essential Functions:

  • Responsible for all logistics, coordination, and implementation of all athletic facilities and athletic reservation to maximize efficient use while maintaining standards, making recommendations as appropriate, and coordinating with park managers regarding usage and scheduling.
  • Builds and fosters positive relationships to promote, recruit, and retain the use of athletic facilities.
  • Assists with budget development and management; researches and recommends cost and revenue opportunities for projects within the Athletic Division.
  • Purchases services, supplies, and equipment according to established policies.
  • Provides assistance with development of RFPs and research competitive pricing, recommends purchases, develops procedures and maintenance/service contract negotiation as directed.
  • Analyzes customer feedback, data, and community surveys to guide continuous service improvements to offer a diversified sports program.
  • Works with staff and community groups to identify target markets and prepare strategies to generate and retain business prospects.
  • Recommends policies, long-range objectives, and capital improvements for assigned properties.
  • Responsible for working with clients to complete facility rental agreements, contracts, and reservations for MetroParks’ athletic facilities, including facility tours, insurance, payments, and all related service coordination.
  • Conducts necessary correspondence, prepares reports and documentation, and communicates in a timely manner.
  • Supervises, schedules, trains, and provides regular guidance and direction to staff and volunteers as assigned.
  • Assists with marketing and promotional efforts for areas of responsibility as needed.
  • Conducts meetings and makes presentations. Routinely attends meetings as a representative of MetroParks.
  • Maintains accurate records of tasks performed including but not limited to time sheets, vehicle mileage, equipment usage, etc.
  • Performs other duties as assigned.

  • Thorough understanding of event planning and execution processes, including timelines, logistics, budgeting, vendor coordination, and contingency planning.
  • Strong problem-solving skills with the ability to assess customer needs and provide timely, effective solutions.
  • Ability to remain calm and courteous under pressure while maintaining a positive customer experience.

 

Required Education and Experience:

  • An Associate’s Degree or higher from an accredited college/university, or technical school in business administration, management, hospitality accounting or a closely related field; or a high school diploma and a minimum of five (5) years prior applicable experience.
  • Proficiency in filing; knowledge of proper telephone etiquette; good diction; knowledge of proper word usage, punctuation, and letter-writing skills; fluent in conversational English; and competency in the correct operation of standard office equipment.
  • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Outlook, or similar non-proprietary software. Experience with event scheduling software and graphic design software a plus.
  • A valid driver’s license with an acceptable motor vehicle record allowing insurability by the park district’s current vehicle insurance carrier under existing coverage provisions at the time of employment and thereafter. Candidates may not have more than 4 total points (or equivalent penalty) issued by a recognized licensing authority for driving-related violations on their driving record at the time of employment.
  • No history of felony convictions.

 

 

Work Environment & Schedule:

This position is a full-time, exempt position that performs administrative, confidential, and supervisory tasks; and requires the use of independent judgement. Candidate must maintain a flexible schedule which may include work on evenings, holidays, and weekends.

 

Physical Demands:

While performing the duties of this job, the employee may be required to move about consistently during shift, position self to operate or maintain equipment, inspect sites to detect safety concerns.  The employee may occasionally move up to 25 pounds.  Reasonable accommodation will be made for known physical limitations of qualified employees and applicants with disabilities.
